You’ve done the hard part. Someone found you, liked what they saw and got in touch. Then… nothing. They went quiet, or chose someone else.
Most businesses don’t have a lead problem. They have a follow-up problem. Here’s how to stop warm leads slipping away.
1. Reply fast
Speed matters more than almost anything else. The longer someone waits, the more likely they are to contact a competitor or lose interest altogether. Aim to respond to every enquiry the same working day, ideally within the hour.
If that’s not realistic, set up an automatic reply that confirms you’ve received their message and tells them when they’ll hear from you.
2. Keep every lead in one place
Enquiries arriving through your website, Instagram DMs, Facebook, email and phone calls are easy to lose track of. A simple CRM, or even a shared spreadsheet to start with, means nothing gets forgotten.
3. Follow up more than once
Most people need more than one touchpoint before they’re ready to buy. A friendly follow-up two days later, another a week after that and a final check-in a fortnight later can turn “maybe” into “yes”.
4. Make it personal
Reference what they asked about, their business or something specific from their message. A generic “just checking in” is easy to ignore. A helpful, relevant note isn’t.
5. Nurture the ones who aren’t ready yet
Not every lead is ready to buy today. Add them to your email list, share useful content and stay front of mind. When they are ready, you’ll be the first business they think of.
6. Track where your leads come from
If you know which channels bring in the warmest leads, you can put more time and budget behind them. Set up proper tracking on your forms and calls so every enquiry has a source.
Treat every lead like it matters
Because it does. Each enquiry represents time, money and effort you’ve already spent on marketing. A good follow-up process makes sure that investment pays off.
